Getting Started With Your AI Email Assistant
A complete beginner's guide to setting up AI in Mail, connecting your email accounts, configuring your preferences, and making the most of your AI email copilot from day one.
- 1
Create Your AI in Mail Account
Go to aiinmail.com and click "Start Free Trial." Enter your work email address and create a strong password. You will receive a verification email within 60 seconds — click the confirmation link to activate your account. Your 14-day free trial begins immediately with full access to all Professional features.
- 2
Connect Your First Email Account
After logging in, you will see the "Connect Email" prompt. Click "Connect Gmail" or "Connect Outlook" depending on your email provider. You will be redirected to Google or Microsoft's official OAuth authorization page — this is where you sign in with your email credentials. AI in Mail never sees your password. Review the requested permissions (read email, send email, read calendar), then click "Allow." Your inbox will begin syncing within 2-5 minutes.
- 3
Set Up Your Notification Channel
Go to "Channels" in the left navigation. Click "Connect WhatsApp" to set up your WhatsApp integration — you'll receive a QR code to scan or a link to click. Alternatively, click "Connect Telegram" and follow the link to your personal bot in Telegram and send /start. You can connect both channels simultaneously — WhatsApp for briefings and Telegram for command-based access, for example.
- 4
Configure Your VIP Senders
Go to "Settings" → "VIP Senders." Add the email addresses or domains of your most important contacts — your CEO, top clients, investors, or key partners. VIP senders trigger instant notifications regardless of quiet hours. You can also add keywords that upgrade any email to VIP status, such as "urgent," "board," or "acquisition." Start with 5-10 VIPs to avoid alert fatigue.
- 5
Set Your Briefing Schedule
Go to "Settings" → "Briefings." Set your morning briefing time (we recommend 30 minutes before your workday starts — typically 7:00 AM or 8:00 AM). Optionally set an evening briefing time for an end-of-day summary. Choose your briefing format: Executive Summary (5 bullet points) or Detailed Digest (full summaries for each email). Configure your quiet hours to prevent non-urgent notifications between your designated off hours.
- 6
Add Additional Email Accounts
If you manage multiple email accounts, go to "Email Accounts" and click "Add Account." Repeat the OAuth connection process for each additional Gmail or Outlook account. Give each account a label (e.g., "Work," "Personal," "Support Team") so your AI briefings clearly identify which account each email belongs to. You can set different VIP lists and notification preferences per account.
- 7
Send Your First Command
Open WhatsApp or Telegram and find your AI in Mail bot. Try sending: "Show me my unread emails." Your AI will fetch and summarize your current unread inbox. Then try "Draft a reply to the last email" to see the AI reply drafting in action. Other useful first commands: "What's urgent today?", "Find emails from [name]", and "Archive all newsletters."
