Complete Guide: Managing Email From WhatsApp
Everything you need to know about connecting your email to WhatsApp and using your AI copilot to manage your inbox entirely from your messaging app.
- 1
Why Manage Email From WhatsApp
The average professional spends 28% of their workday on email. WhatsApp is where most of us already spend the majority of our communication time. Managing email from WhatsApp eliminates the context switch between apps, reduces the mental overhead of "checking email," and allows email management to happen naturally within your existing communication flow. You are not adding a new tool — you are extending the one you already use most.

Choosing Your Setup: WhatsApp Personal vs WhatsApp Business
AI in Mail works with both WhatsApp Personal and WhatsApp Business. Personal WhatsApp uses your existing WhatsApp number — your AI copilot appears as a contact. WhatsApp Business offers additional features like quick reply templates and business profile display. For most users, WhatsApp Personal is the simpler choice. If you are setting up a team-level integration where multiple people manage the same inbox, WhatsApp Business API is recommended.
- 3
Connect Your Email Account
Log in to your AI in Mail dashboard and click "Connect Email." Choose your provider (Gmail or Outlook) and complete the OAuth authorization. For Outlook users in a corporate environment: you may need to ask your IT administrator to whitelist AI in Mail as an approved app in your Microsoft 365 admin panel. This usually takes 24-48 hours to process. For Gmail users: the connection is immediate with no IT approval needed.
- 4
Link WhatsApp to Your AI Account
In your AI in Mail dashboard, go to Channels → WhatsApp. You will see a QR code and a deep link. To connect via QR code: open WhatsApp on your phone, go to Settings → Linked Devices, scan the QR code. To connect via link: click the link in the dashboard — it will open WhatsApp with a pre-populated message to your AI copilot bot. Send the activation message to complete the connection. You will see a confirmation message from your bot.

Send Your First Commands
Once connected, try these commands in your WhatsApp conversation with your AI: "Hi" (your AI will introduce itself and show your inbox summary), "Show unread" (lists your most recent unread emails with summaries), "Show from [person's name]" (filters emails from a specific person), "Reply to last email: [your message]" (drafts and sends a reply), "Archive that" (archives the last shown email), "What's my schedule today" (if calendar is connected).
- 6
Configure Notification Preferences
In Settings → Notifications, configure when and how your AI contacts you on WhatsApp: Instant alerts for VIP emails (recommended: on), Morning briefing time (recommended: 7 AM), Evening briefing (recommended: 6 PM), Quiet hours (recommended: 10 PM – 7 AM), Maximum non-urgent notifications per hour (recommended: 3). These settings prevent notification overload while ensuring genuinely critical emails still get through.

Advanced Commands and Tips
Power user commands: "Snooze this until tomorrow 9am" (moves email out of inbox and resurfaces it), "Forward to [name or email]" (forwards the current email), "Flag as important" (stars/flags the email in your actual inbox), "Set reminder for this thread in 3 days" (creates a follow-up reminder), "What did [person] last email me about?" (searches thread history), "Translate this to English" (translates non-English emails on the fly). You can also send voice messages — your AI transcribes them and uses your spoken instruction.
